Healthcare Document Storage and Scanning
A PCT which was preparing to make the conversion to become a Clinical Commissioning Group in early 2013.
In order to facilitate this complex transition, the client sought to streamline its document management processes in order to cut costs, increase efficiency and maintain excellent levels of legal compliance.
The PCT transferred the management of all HR, Finance and patient records to Mitech Systems. The client chose a hybrid document management system which consists of scanning all records and having them hosted via Mitech LiveVault, storing the hard-copies of records which had long or permanent retention periods and destroying those documents that have reached or exceeded their retention period post-scanning. To ensure that vital records could be accessed, the client also utilises Mitech’s Scan-on-Demand service, which means that any records that are part-way through the scanning process can be located, scanned and uploaded to Mitech LiveStore for immediate access. In order to categorise their documents, the client opted for a mixture of OCR (Optical Character Recognition) and manual indexing.
